The Archiving Unit in the Department of Documents, Certificates, and University Orders.

In the context of enhancing the services of the Documents, Certificates, and University Orders Department, the Archiving Unit within the department has been carrying out its tasks over the course of three months this year. The unit works on two main branches: electronic archiving and paper archiving. Regarding electronic archiving, the unit has archived 2,996 documents, attestations, and authenticity confirmations in the designated electronic archiving system. When graduates request a copy of these documents, the department can provide them with an officially certified copy through the electronic system, ensuring easy access and quick execution even in the absence of an internet connection. As for paper archiving, the unit retrieves the original copies of academic documents and stores them in "graduate files," enhancing security and preserving the graduate's rights to retrieve any document when needed. Regarding security and accuracy procedures, the importance of the system lies in maintaining the confidentiality of the information. Access to documents is restricted to authorized individuals who have the necessary permissions to access the system. The department also ensures the protection of graduate data at all stages of archiving and documentation, contributing to the preservation of the quality and integrity of academic documents. The Documents, Certificates, and University Orders Department continues to develop its systems in line with the latest archiving technologies to meet the needs of graduates and enhance the efficiency of administrative work at the university.

Attendance of the Documents, Certificates, and University Orders Department at the "Digital Scientific Identity" Seminar

The entire team from the Documents, Certificates, and University Orders Department at Future University attended the online scientific seminar titled "Digital Scientific Identity," which took place on Saturday. The seminar addressed a range of modern and important topics related to defining digital scientific identity, its significance in the contemporary world, and how to develop reliable systems for managing academic certificates and university documents in a digital format that keeps pace with rapid technological advancements. Participants in the seminar discussed several key topics, including: Defining Digital Scientific Identity: What digital scientific identity is and how it is used across various academic fields. The Importance of Digitization in Higher Education: How digital systems contribute to facilitating access to certificates and academic documents. Data Protection and Digital Security: How to ensure the safety and protection of academic information from fraud or misuse. Modern Technologies: An overview of the latest technologies used in verifying academic certificates and digital documents. The speakers emphasized the necessity of adopting modern digital systems in academic institutions to enhance transparency and reliability in handling certificates and university documents. They also highlighted the importance of having all academic staff and employees involved in the Documents and Certificates Department attend such seminars, as they provide a valuable opportunity for exchanging experiences and gaining up-to-date knowledge in this field.

Online Meeting Held by the President of Future University, Professor Dr. Hassan Shaker Magdy, with the Faculty and Unit Staff

An online meeting was held on Wednesday morning at 10:00 AM at Future University, attended by the University President, Professor Dr. Hassan Shaker Magdy, and chaired by the Scientific and Academic Supervisor, Professor Dr. Muzafar Sadiq Al-Zuhairi. The meeting covered a range of important directives and guidelines from the university president regarding the activities of Sustainability Week. He emphasized the need for effective task distribution among the various departments and units, stressing the importance of active participation from everyone. He also highlighted the necessity of motivating all academic and administrative staff to commit to and implement the activities related to the week, in line with the university’s goals to promote sustainability. The Department of Documents, Certificates, and University Orders organized an awareness campaign titled "No to Violence Against Women." Participants in the campaign emphasized the importance of not tolerating any form of violence that women may face. The campaign highlighted the need to report any incidents of violence by contacting community police or seeking help from specialized organizations that provide support and protection for women. The department's employees stressed the role of society in combating violence against women and encouraged students to stand in solidarity with women in confronting this serious social issue. The Documents and Graduates Division announced the issuance of 749 attestations and 197 documents during the period from March 1 to March 25, 2025, with the work being completed quickly and accurately. This achievement is a significant accomplishment for the division and its distinguished, cooperative staff, who carried out these tasks with the highest efficiency and best methods. The work was carried out under the direct supervision and guidance of the Division Director, Mr. Abdul Hussein Abdul Zahra.

A meeting was held chaired by the Director of the Documents, Certificates, and University Orders Department to discuss how the department can actively participate in Sustainability Week. The director emphasized the importance of participating in this event and stressed the need to provide constructive suggestions on how to contribute to the activities of Sustainability Week. The director also divided the team into several groups to work collectively on achieving the tasks required for effective participation. The director ensured his personal attendance and participation in the Sustainability Week activities organized by Future University, which will begin on April 16, 2025, and run until April 24, 2025. He emphasized the need for the Documents, Certificates, and University Orders Department to operate according to sustainability principles, such as reducing paper usage and utilizing environmentally friendly technologies. The director also pointed out the possibility of having the department’s employees participate in campaigns focused on environmental conservation, assuring his full readiness to provide all necessary support to the employees to ensure effective participation and work in the best possible way
